1. Who we are

Italero Field Notes is an independent editorial publication operated from 35 Northampton Roades, contact us at [email protected] or by telephone at +44 20 7392 6148.

Italero Field Notes is an independent editorial publication focused on everyday wellness practices. The publication is not affiliated with any commercial, governmental, or institutional body. This Privacy Policy describes how we collect, use, store, and protect personal data submitted to or collected by this website, in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data we collect

We collect personal data only when you voluntarily provide it to us, or when it is collected automatically as part of standard website functionality. The categories of data we may collect include:

  • Contact form submissions: name, email address, and message content submitted via the contact form on this website.
  • Automatically collected data: IP address, browser type, operating system, referring URL, pages visited, and time of visit. This data is collected via server logs and, where consented to, via analytics cookies.
  • Cookie data: see our Cookie Policy for a full description of the cookies used on this site and how to manage your preferences.

3. How we use your data

We use personal data collected via this website for the following purposes:

  • To respond to editorial enquiries, pitch submissions, and correspondence submitted via the contact form.
  • To understand how readers navigate the site and which dispatches are accessed most frequently, in order to improve editorial prioritisation. This analysis uses aggregated, anonymised data only.
  • To maintain the security and stability of the website, including the identification and prevention of unauthorised access.
  • To comply with applicable legal obligations.

We do not use personal data for automated decision-making, profiling, or direct marketing. We do not sell, rent, or share personal data with third parties for commercial purposes.

4. Legal basis for processing

Under UK GDPR, we process personal data on the following legal bases:

  • Legitimate interests (Article 6(1)(f)): processing of contact form submissions to respond to enquiries, and processing of server logs for security purposes.
  • Consent (Article 6(1)(a)): processing of analytics cookies where you have given consent via the cookie banner on this site. Consent may be withdrawn at any time.
  • Legal obligation (Article 6(1)(c)): processing required to comply with applicable UK law.

5. Data retention

Contact form submissions are retained for a period of twelve months from the date of submission, after which they are permanently deleted unless an ongoing correspondence requires longer retention.

Server log data is retained for a maximum of ninety days. Anonymised, aggregated analytics data has no fixed retention period as it cannot be used to identify individuals.

6. Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access: to request a copy of the personal data we hold about you.
  • Right to rectification: to request correction of inaccurate or incomplete data.
  • Right to erasure: to request deletion of your personal data where no overriding legal basis for retention exists.
  • Right to restrict processing: to request that we limit how we use your data pending resolution of a query.
  • Right to object: to object to processing based on legitimate interests.
  • Right to withdraw consent: to withdraw consent for cookie-based analytics at any time via the Cookie Settings link in the footer.

To exercise any of these rights, write to us at [email protected]. We will respond within one calendar month. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you consider that our handling of your data has not been compliant.

7. Third-party services

This website loads resources from third-party content delivery networks, including fonts (Fontshare, Google Fonts), icon libraries (Font Awesome), and Javascript libraries (jQuery, GSAP, AOS, Swiper, Fancybox). These services may set their own cookies or collect IP address data as part of standard CDN functioning. We do not control these third-party services and recommend reviewing their respective privacy policies.

Where analytics are enabled via consent, data may be processed by a third-party analytics provider. No personally identifiable information is shared with analytics providers beyond what is inherent to standard web analytics (IP address, browser fingerprint, page URLs). IP addresses are anonymised before storage where the analytics platform permits this configuration.

8. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in applicable law or in our data handling practices. The date at the top of this page indicates when the policy was last updated. Continued use of this website following an update constitutes acceptance of the revised policy.
